How Much Does Book Formatting Cost? (2026 Guide)

Short answer: somewhere between nothing and about $800, and the honest answer depends on your book, not on a price list. A clean 60,000 word novel with no images sits at one end of the scale. A 300 page business book with tables, charts, footnotes and an index sits at the other. Anyone who quotes you a single flat number without asking what is inside your manuscript is guessing, and guessed quotes tend to grow later.

We format books for a living, so here is how the pricing actually works, what each tier buys you, and where authors waste money.

The three ways to pay for formatting

Do it yourself with software: $0 to $350, plus your time. Tools like Atticus and Vellum (around $150 to $350, one time) produce decent results for straightforward fiction and memoir. Amazon's own Kindle Create is free. The catch is the learning curve and the limits: the moment your book needs a real index, complex tables, drop caps that behave, or a print edition that looks like it came from a traditional publisher, you are fighting the tool instead of using it. Price your own hours honestly before calling this the cheap option.

Freelancers: roughly $50 to $300. Marketplace freelancers cover the wide middle. At the low end you get a Word document converted with basic styling. At the high end you get someone competent in real typesetting software. Quality varies enormously at this tier, so ask to see a printed proof or a sample interior, not just a portfolio of covers. The most common problem we see when authors bring us a book to rescue: the cheap format passed upload checks but looks amateur on paper, with rivers of white space, hyphenation chaos and chapter openings that all start at different heights.

Professional studios and designers: roughly $250 to $800+. This tier works in tools like Adobe InDesign, typesets to a grid, and proofs the book the way traditional publishers do. Our own interior design service starts at $250, and that starting point assumes a clean manuscript of mostly continuous text. Most novels and memoirs land between $250 and $450 with us. Illustrated books, cookbooks, workbooks and anything with heavy tables or an index price higher, because every one of those elements is placed and checked by hand.

What actually drives the price

Length. More pages means more proofing passes. Most formatters price partly on word count for this reason.

Complexity. A novel is text flowing from page to page. A nonfiction book with 40 tables, 200 footnotes and a bibliography is a construction project. Footnotes, endnotes, indexes, pull quotes, sidebars and image placement all add hours.

Formats. Print PDF and EPUB are different deliverables. A validated EPUB that passes retailer checks is separate work from the print file, and a hardcover interior is not always identical to the paperback (different margins, sometimes different trim). Large print editions are their own layout entirely, not a font size bump.

Manuscript condition. A clean, consistently styled Word file formats fast. A manuscript with manual spacing, mixed fonts, text pasted from PDFs and chapter breaks made with ten empty paragraphs has to be cleaned before design can even start. Cleaning is billable time everywhere, including here.

Revisions after the proof. Every professional includes a round or two of corrections for typos and small fixes. Structural changes after typesetting, like adding a chapter, rewriting sections or swapping images throughout, reflow the whole book and are priced as new work. This is the number one source of surprise invoices in our industry, so ask about it before you sign anything.

What should be included (and often is not)

When you compare quotes, check whether these are in or extra:

  • Print ready PDF for your exact trim size and printer (KDP and IngramSpark have different requirements)
  • A validated EPUB, not just an exported one
  • Table of contents with correct page numbers for print, linked for ebook
  • Running heads, page numbers and chapter openings designed, not defaulted
  • Index creation, if your book needs one
  • A proof round for corrections

Our formatting includes index creation, footnotes and endnotes, tables and charts, the hardcover interior and a large print edition in the scope of the project rather than as surprise add-ons. Not every provider works that way, which is exactly why two quotes for "formatting" can be $200 apart and both be honest.

Where authors overspend, and where they underpay

Overspending usually happens on simple books. If you have a clean novel, you do not need an $800 package with features your book will never use. Underpaying happens on complex books: a $75 format of a table heavy business book will look like a $75 format, and fixing it later costs more than doing it properly once, because the rescue starts from someone else's broken files.

The other hidden cost is time. A rejected KDP upload, a proof copy that arrives with a broken spine of white space in the gutter, a launch date missed because the EPUB failed validation: these cost more than the formatting quote ever did.

How to get an accurate quote

Send the actual manuscript, or at minimum the word count, a chapter sample, and a list of special elements (images, tables, footnotes, index). Say which formats you need: paperback, hardcover, ebook, large print. Say where the book will be printed. With that, any professional can give you a fixed number instead of a range, and fixed numbers protect you.

If you want ours, the interior design service page explains exactly what we deliver and what it starts at. And if you are still deciding whether to publish on KDP or IngramSpark first, the production order matters for formatting too, because the first printer's file usually becomes the master the others are adapted from.

FAQ

Is formatting the same as editing? No. Editing works on the words. Formatting and interior design work on how those words sit on the page: margins, typography, spacing, chapter structure. Format after editing is finished, never before, or you will pay to reflow the book.

Can I format in Word or Google Docs? You can produce a readable document, but Word is not typesetting software. It lacks the fine control over hyphenation, justification, widows and orphans that makes a printed book look professional. Most books we rescue started in Word.

Why do quotes for the same book vary so much? Because "formatting" covers everything from a quick conversion to full interior design with an index. Compare what is included, ask for printed samples, and the variation usually explains itself.

Does page count or word count matter more? Word count drives the quote, page count follows from your trim size and typography. A 70,000 word book can be 200 pages or 320 depending on design choices, which is another reason fixed quotes need the manuscript, not just a number.
