How to Format a Book for KDP, Step by Step

Formatting a book for KDP is not hard because the rules are secret. Amazon publishes them. It is hard because the rules interact: your page count changes your margins, your trim size changes your costs, and a decision made in chapter one shows up as a rejection or an ugly proof in week three. This is the sequence we follow when we format a book for KDP for a client, in the order that prevents rework.

Step 1: Lock the trim size before anything else

KDP's standard trim sizes for paperback include 5 x 8 in, 5.5 x 8.5 in, 6 x 9 in (the most common for nonfiction and much fiction), and larger options up to 8.5 x 11 in. Hardcover offers a shorter list, starting at 5.5 x 8.5 in. Pick based on genre norms and page count economics: a bigger trim means fewer pages, which means lower printing cost per copy, which is real money on every sale. Changing trim after formatting means reformatting the entire book, so decide once, with the printing cost calculator open, not by feel.

Step 2: Set margins from your page count, not from a template

KDP's minimum inside (gutter) margins grow with page count, because thicker books lose more page to the binding:

  • 24 to 150 pages: inside margin at least 0.375 in
  • 151 to 300 pages: at least 0.5 in
  • 301 to 500 pages: at least 0.625 in
  • 501 to 700 pages: at least 0.75 in
  • 701 to 828 pages: at least 0.875 in

Outside, top and bottom margins need at least 0.25 in, and if any image or background touches the page edge, the file needs 0.125 in of bleed on the outer edges, which also means your page size grows by that bleed. Treat these as minimums, not targets. Professional interiors sit a little inside them, because minimum margins look cramped and the gutter on a 400 page book will still eat text that sits exactly at the legal limit.

Step 3: Build the front matter in publishing order

Title page, copyright page, dedication if you have one, table of contents, then chapter one. The copyright page carries your copyright line, ISBN for this edition (the paperback ISBN, not the ebook one), publisher name, and any disclaimers. Page numbers in print start counting from the first page of the file even though they only become visible later; that is normal, and KDP expects it. Roman numerals for front matter are a hardcover tradition some authors love, but they complicate KDP files and most indie books simply start visible numbering at chapter one.

Step 4: Typeset the body like a book, not a document

Body text in a print serif at 10.5 to 11.5pt, justified, with hyphenation on and tuned (justified text without hyphenation creates rivers of white space). First paragraphs after a heading or scene break sit without an indent; following paragraphs are indented. Scene breaks get a consistent ornament or spacing, never a row of asterisks typed by hand unless that is a deliberate design choice. Chapter openings start on a new page, on the right hand page in fiction if you want the traditional feel, and running heads and page numbers come off chapter opening pages.

This step is where Word documents go to die. If you are building in Word, use real styles for every element (Chapter Title, Body, First Paragraph) and never format by hand, because hand formatting is what breaks when the file is converted or revised.

Step 5: Export the print PDF and interrogate it

Export to PDF with fonts embedded, at your exact trim size (plus bleed if you use it). Then check like an auditor: page count matches what KDP expects, no blank pages you did not intend, images at 300 DPI, no text closer than the safe margins, page numbers present everywhere except where design removes them. Upload, then use KDP's online previewer page by page. The previewer flags technical errors, but it will happily pass ugly pages, so scroll the whole book, not just the flagged ones. Order a physical proof. Screens hide gutter problems that paper exposes instantly.

Step 6: Build the ebook as its own deliverable

Your print PDF is not your ebook. For Kindle, produce a reflowable EPUB (or build in Kindle Create from a clean DOCX) with a linked table of contents, chapter breaks as real section breaks, and images sized for screens. Validate the EPUB before upload; files that skip validation are the ones that render with broken contents pages on a customer's Kindle and come back as one star quality complaints on your listing. Keep front matter lean in the ebook: readers who bought the book want chapter one fast, and Amazon's Look Inside shows the opening, which means your front matter is part of your sales page whether you planned it that way or not.

The mistakes that get KDP books rejected or reviewed badly

  • Margins set from a downloaded template for a different page count
  • A cover whose spine was calculated before the final page count existed (our cover size chart walks through that math)
  • ISBN for the ebook on the paperback copyright page
  • Fonts not embedded in the PDF
  • Page numbers typed manually, which drift the moment anything is edited
  • Formatting before editing was finished, then paying for the reflow twice

If the book is also going to IngramSpark later, format the KDP edition first and keep your source files clean, because the IngramSpark edition will be adapted from them with different margins and a different cover template. The comparison between the two platforms is worth reading before you commit to an order.

When to hand it over

If your book is a clean novel and you enjoy this work, the steps above will get you a respectable KDP edition. If the book has tables, footnotes, images throughout, an index, or a launch date you cannot move, that is the point where our interior design service usually enters: print PDF plus validated EPUB, designed in InDesign, starting at $250, with the hardcover and large print interiors in scope. Either way, format once, from a final manuscript, and proof on paper. KDP forgives a lot. Readers, holding the physical book, forgive much less.

FAQ

What file format does KDP want for the interior? PDF for print, with fonts embedded. For Kindle, EPUB or a Kindle Create file (KPF), or a clean DOCX as a fallback.

Does KDP charge for formatting? No. KDP charges nothing to publish; it takes its share from sales. Costs you hear about are for design help, editing, covers and ISBNs, not for KDP itself.

Can I use the same interior file for paperback and hardcover? Usually not directly. Hardcover has a different trim list, different margins and case requirements. Expect an adapted file, built from the same source.

How long does KDP formatting take? A clean novel, days. The schedule killer is almost never the typesetting; it is revisions to a manuscript that was not final, and proof copies in the mail.
